What You'll Do:
As our Accounts Payable Specialist, you'll play a key role in our Accounting Department by managing all aspects of Accounts Payable and providing support to Payroll. You'll help keep our financial operations running smoothly while working in a collaborative and fast-paced environment.
Your key responsibilities will include:
- Processing company-approved invoices for payment in Bill.com
- Setting up new vendors, maintaining vendor files, and managing W-9 and Certificate of Insurance (COI) records
- Scheduling recurring payments (rent, janitorial, lawn services, etc.)
- Verifying correct branch and GL coding for all invoices
- Handling stop payments, check voids, and maintaining the outstanding check register
- Preparing and filing monthly sales tax reports
- Responding to vendor and employee inquiries and resolving invoice discrepancies
- Preparing 1099 files in Sage Intacct for import into Tax Bandits
- Managing the corporate/purchasing card system through Divvy (Bill.com)
- Completing monthly accrual and deferral journal entries
- Serving as the primary backup for Payroll, including payroll processing, employee action notices, and 401(k) file submissions
- Assisting with daily cash entries and other special accounting projects as needed
What You'll Bring:
- Associate's degree in Accounting (preferred)
- 2+ years of accounting/accounts payable experience (required)
- 2+ years of payroll experience (preferred)
- Working knowledge of Sage Intacct, Bill.com, and Paychex (preferred)
- Proficiency with 10-key data entry and high attention to detail
- Strong organizational, written, and verbal communication skills
