We are committed to protecting the personal data of candidates, clients and website users in compliance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and relevant international laws.


COLLECTION OF YOUR PERSONAL DATA

Where you provide personal data to us, we will become responsible for it as the data controller.


We may collect and process the personal data that you give us by filling in forms on our website or by corresponding with us by phone, e-mail or otherwise. It includes information you provide when you register to use our site, to enter our database, subscribe to our services, attend our events, participate in discussion boards or other social media functions on our site, and when you report a problem with our site. 


We may also collect it from other sources if it is legal to do so. We work with third parties including business partners; sub-contractors in technical, professional, payment and other services; advertising networks; analytics providers; search information providers; credit reference agencies and; professional advisors. We may receive information about you from them for the purposes of our recruitment services and ancillary support services.

For Candidates (Job Seekers):

• Name, contact details (email, phone number, address)

• CV/resume and work history

• Certifications and qualifications

• Right to work status

• Salary expectations

• References and background/ID check information (where applicable)

• Links to professional profiles available in the public domain (e.g. LinkedIn, corporate websites, online CV libraries) 


For Clients (Employers):

• Company name and address

• Contact person’s name and business contact details

• Job descriptions and role requirements

• Contractual details relevant to the recruitment process

• Payment details 


From Website Visitors:

• IP address

• Browser type and version

• Usage data collected through cookies (see section 8)

HOW WE USE YOUR INFORMATION

The core service we offer to our candidates and clients is the introduction of candidates to our clients for the purpose of temporary or permanent engagement.


We use your data for the following purposes:

• To carry out our obligations arising from any contracts we intend to enter into or have entered into between you and us and to provide you with the information and services that you request from us, or we think will be of interest to you because it is relevant to your career or to your organisation

• To match candidates with suitable job opportunities

• To allow candidates to upload their profile and CV/resume, for clients to find and engage 

• To assess and present candidates to clients

• To conduct compliance checks (e.g. right to work)

• To respond to queries or provide support

• To improve our website and services

• To provide you with information about other services we offer that are similar to those that you have already been provided with or enquired about  

• To notify you about changes to our service


We rely on one or more of the following legal bases:

• Consent – when you voluntarily submit your information

• Contract – to take steps prior to entering or fulfilling a contract

• Legal Obligation – to comply with the law (e.g. verifying right to work)

• Legitimate Interests – for the operation and improvement of our services


SHARING YOUR INFORMATION

During the delivery of our service to you, we will share your data with other companies who are essential for the provision of our service to you. They are under contract with us and have provided sufficient guarantees that they will process your data only as per the terms of that contract and throughout processing activities will ensure your data is protected using appropriate technical and organisation measures.


We may share your data with:

• Potential employers or hiring managers 

• Candidates for the purpose of arranging interviews and engagements

• Background check providers (where applicable)

• Service providers (e.g. cloud storage, email platforms)

• Legal or regulatory authorities where required

• Clients, business partners, suppliers and sub-contractors for the performance and compliance obligations of any contract we enter into with them or you

• Subcontractors including email marketing specialists, event organisers, payment and other financial service providers

• Analytics and search engine providers that assist us in the improvement and optimisation of our site

• Credit reference agencies, our insurance broker, compliance partners and other sub-contractors for the purpose of assessing your suitability for a role where this is a condition of us entering into a contract with you


If EnviroCareer is wholly or partially acquired by a third party, your personal information may be one of the transferred assets.


INTERNATIONAL TRANSFERS

Our operations are based in the UK, and your personal information is generally processed within the UK and countries within the European Economic Area (EEA). In some instances, we may transfer your personal information to third countries, for example, where our suppliers or cloud service providers are situated outside the UK and EEA. 


If the recipient is situated in a third country that has not received an adequacy decision from the relevant regulator, we will ensure additional safeguards are in place including the use of applicable standard contractual clauses. 


SECURING AND PROCESSING OF YOUR PERSONAL DATA

To provide and manage our services, the information that you provide to us is stored, processed, with servers hosted in AWS (Amazon Web Services) and accept communication only over TLS secure protocol. Payment processed through the envirocareer.com website, use Stripe and do not store any credit card information on our associated servers to comply with security best practices. 


Your data is also stored within our own IT systems, which are secured to prevent access or intrusion by anyone who is not authorised to have access to your data. 


Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.


In the unlikely event that we lose your data, or a device on which your data resides, or it is accessed by someone unauthorised, we will inform you if the loss or unauthorised access of your data has potential to cause you harm. 


DATA RETENTION

We retain personal data only as long as necessary for the purpose collected or as required by law. Typically:

• Candidate data: up to 2 years after last contact unless you request deletion

• Client data: up to 6 years for legal/tax purposes


YOUR RIGHTS

Under UK GDPR, you have the right to:

• Access your personal data

• Correct inaccurate or incomplete data

• Request deletion (“right to be forgotten”) in certain circumstances

• Object to or restrict processing in certain circumstances

• Data portability (receive data in a machine-readable format)

• Request human intervention or challenge a decision made by automated decision making or profiling

• Lodge a complaint with the UK Information Commissioner’s Office (ICO)
